2. Purposes and legal bases for processing personal data
We process your personal data for the following purposes:
- Preparing quotations, negotiating, concluding and performing contracts with business partners – Article 6(1)(b) GDPR.
- Day-to-day operational communication, including technical, quality and commercial arrangements – Article 6(1)(f) GDPR (the controller’s legitimate interests).
- Project and quality management, particularly processes associated with the automotive industry, including quality audits – Article 6(1)(f) GDPR.
- Managing deliveries, shipments, logistics and warehousing – Article 6(1)(b) and (f) GDPR.
- Compliance with tax and accounting obligations – Article 6(1)(c) GDPR.
- Verification of business credibility and assurance of supply security and business continuity – Article 6(1)(f) GDPR.
- Establishing, pursuing or defending claims and documenting the course of the business relationship – Article 6(1)(f) GDPR.
We do not use profiling or automated decision-making.
3. Categories of personal data processed
We process data required for communication and the performance of our business relationship, in particular:
- name and surname,
- job title,
- business e-mail address,
- business telephone number,
- identification and address details of the company you represent,
- other data provided in correspondence or project documentation.
We do not collect data beyond the above scope.
4. Recipients of personal data
Your data may be disclosed only to organisations that support us in performing contracts and maintaining business continuity, in particular:
- TARA Accounting Office (ul. Kosynierów 5/5, 35-242 Rzeszów, Poland),
- courier and transport companies,
- cloud-service providers, including Microsoft 365,
- law firms providing services to Accuma,
- external auditors, including quality, financial and systems auditors,
- providers of software and systems supporting company operations, such as CRM, project-management and quality-management systems.
These organisations process data under data-processing agreements or their own applicable GDPR arrangements.
5. Transfers outside the European Economic Area (EEA)
In connection with our use of Microsoft 365, data may be transferred to third countries in accordance with the compliance mechanisms used by Microsoft, including Standard Contractual Clauses.
Current information about the safeguards applied is available in Microsoft’s legal documentation.
6. Data retention
Data will be retained:
- for the duration of the business relationship and contract performance,
- for the period required by tax legislation, which is at least five years,
- until the expiry of limitation periods for claims, normally six years in B2B relationships,
- for the period required to document compliance with quality and industry standards, including automotive requirements, but no longer than necessary.
7. Rights of data subjects
You have the right to:
- access your personal data,
- rectify your personal data,
- restrict processing,
- erase personal data where this does not conflict with legal obligations,
- data portability,
- object to processing.

8. Right to lodge a complaint
You have the right to lodge a complaint with the President of the Personal Data Protection Office in Poland.
9. Requirement to provide data
Providing personal data is voluntary but necessary to establish a business relationship, conclude or perform a contract. Failure to provide the required data may prevent order fulfilment or operational communication.
